Official World Finals Trip Reimbursement Policy
A Team is defined as up to 7 students and 1 coach and 1
Once 7 team members have heard ANY part of the problem, those team
members are bound to the team. No
replacement may be made at this time.
All team members must maintain a C average or above to participate in
All team members must have a good conduct history to participate in the
All coaches/assistant coaches MUST complete the fingerprinting process
with the school district as required by state law. Failure to do so will result in the release of the coach(s).
Assistant coaches must be on the roster BEFORE the regional
competition. No one may be added after the first competition.
All team members MUST pay the $25.00 registration fee (non-refundable) by the current deadline or he/she may not be eligible to compete. Scholarships may be available for students who may need
Team members/coaches must understand that Odyssey of the Mind is a
commitment! Anyone who drops off the team without GOOD reason may not be eligible for a team for one academic year.
Teams must find their own coaches. The coordinator will do all she/he can to assist with this; however, the ultimate responsibility will be on the team to secure the coach.
Team members may NOT be switched to another team without WRITTEN CONSENT by the coaches, coordinator AND parent of the team member.

Since a chaperone rule is required for both male and female
students on all OM trips, the GT Director (female) and a male assistant (school employed) will also be included in the cost of World Finals. Duplicate expenses will not be allowed.
Any parent or individual wishing to attend World Finals with the
team members/coaches/director/assistant to the director will be responsible for their own expenses. Teachers and school employees: Remember! Unless you are a coach or official for OM, you will have to take personal business days or be deducted a full day’s pay if you decide to attend World Finals.
Funding for Regional, State & World Finals competitions will include the coach, 1 assistant coach, team members, and coordinator/assistant coordinator. If props have to be driven to the site, that driver will be funded.
1. Planning: The most important part of planning a trip to World Finals is the cost. The lack of available finances from the Blytheville School District has and continues to put a substantial financial burden on the booster organization. The booster’s
and coaches must work together to find the most cost effective solution for each traveling team.
With that in mind, we cannot allow duplicate expenditures and expenses based solely on convenience.
Fundraising is not a sure thing, $5000-6000 per year is a very good
year. When we send more than 1 team in a given year, it becomes very evident that saving money is the most important task at hand.
Therefore the standard policy will be a mandatory meeting for The Boosters, the coaches, and the parents on the first Thursday evening after the Arkansas competition.
The agenda for this meeting will be transportation and fund raising-- the two most important aspects of this trip. The actual trip planning should come much later. Also, the paperwork necessary for World Finals will be filled out at this meeting. Please have every parent attend this meeting and be ready to sign forms and fill out medical information.
All coaches/team members MUST participate in fund raising for the Booster Club. Please realize that this is a GROUP effort and funds need to be raised by everyone to help fund the World Finalists’ trip to the competition.

Booster approval must be in place before any trip plans are
finalized and expenses are incurred.
2. Travel: Economical transportation without undo hardship for the team and coaches is the goal.
3. Room & Board: Opening Ceremonies to closing Ceremonies, early arrivals or late departures and the costs associated with them will be at the expense of the student/parent/coach.
4. Shipping Props: Blytheville Odyssey of the Mind World Finals
Booster Club will be responsible for collecting funds for props to be shipped or delivered to the site for World Finals in the most economical/safe way possible.
5. On site travel (if traveling by air): Shuttle vs. Van rental?
The most economical mode.
If field trips are planned, any additional expense incurred will
be the responsibility of the student/parent/coach.
6. Team Pins: Each team member is given a state T-shirt with World
Finalist written on the back by the Creativity in Arkansas, Inc. board of directors. All other purchases of pins, tee shirts or other Arkansas merchandise will be at the expense of the student/parent/coach.
The money will be due upon ordering. This is a guideline from the state association, CiA, Inc. NOTE: Only the official Arkansas World Finalist shirt will be allowed during opening or closing ceremonies on the designated day. Please do not alter or cut shirts. We are there to represent Arkansas and Blytheville. Be respectful of our
7. Souvenirs: All purchases of souvenirs during the trip will be at the expense of the student/parent/coach. It is suggested that each student take an appropriate amount to cover these expenses.
8. Field Trips/Tours: While we encourage educational field trips, all expenses incurred will be the responsibility of the student/parent/coach.
Fundraisers: Each team is encouraged to help raise funds for World Finals! Our teams/coaches/parents work very hard each year to raise several thousand dollars for their chance to compete at World Finals!!
Our students depends greatly on the community Christmas Parade Hot Chocolate Sale and the May Fest Food & Dunking Booth Sales & donations for funds to attend World Finals. Our dunking booth is available to rent for a donation of $75 to our booster club. To borrow the dunking booth, please call D. Hay for further information.
